Is it legal to charge a late fee on a freelance invoice?

Yes — late fees are legal and enforceable in most US states and many other countries when stated on the invoice and in the contract. The fee must be reasonable (not punitive) and not exceed your local usury cap. The standard freelance industry rate is 1.5% per month (18% APR), which is well within typical legal limits.

When should I add late fee language to my invoice?

On every invoice and in every contract. Add it from day one — not after a client has gone late. Standard wording: "Payments not received within 30 days of invoice date will accrue a late fee of 1.5% per month." Most clients will not pay late fees but the threat alone motivates faster payment.

Should I actually charge the late fee?

Use judgment. For one-off slow payments by good clients, waive the fee on first request — keep the relationship intact. For repeat late payers or clients who go quiet, apply the full fee at 30 and 60 days. The fee is leverage; use it strategically rather than maximally.

How do I calculate compound vs simple interest?

Simple interest applies the rate to the original amount only. Compound interest applies the rate to the principal plus accrued interest. For freelance late fees, simple interest is standard and easier to defend. The calculator above uses simple interest, prorated by day (each month adds the set percentage of the original invoice — never interest-on-interest).

What if my contract does not mention late fees?

You can still charge late fees in many jurisdictions under "reasonable compensation for delay" doctrine, but it is much harder to enforce. The simpler fix: add the clause to your standard contract template now and apply it to all future engagements.

How does this prevent future late invoices?

Two ways. First, the existence of a late fee on the invoice often triggers faster payment — clients with multiple invoices to pay prioritize ones with explicit penalties. Second, applying the fee on a chronic late payer either motivates change or makes the client unprofitable enough to drop. Either outcome improves your business.
